SpaceAye Onboarding Process

Users who are invited to sign their company up for SpaceAye will receive an email invitation. This user will be designated as an administer for their company, responsible for registering their company and managing other users. They should therefore hold an appropriate role within their company, such as a manager or team leader.

Email and log in

1. An invitation email will be sent your company email address.
   • The domain of this email will be used to set an approved domain for all users in your company and should therefore be a company email address i.e. [e-mail]
   • Additional domains can be added to your company later by contacting SpaceAye support.
2. Within the email, click “Accept Invitation”

3. Log into SpaceAye using your company email address.
4. You will be prompted to complete multi-factor authentication. Depending on your email address, this might involve:
   • A code sent to your email address
   • A code sent to your phone
5. Once you have been authenticated, you will enter the onboarding process to register your company.

Onboarding Process

1. On the welcome page, click “Continue” to enter the onboarding process.
2. If you require help with any stage of this process, click the “Question” button at the bottom left of the page. This will enable you to access documentation or contact SpaceAye support.

3. On the Company Information page, enter your company name into the Company Name field and click “Find”
   • This will perform a search with Companies House. Please try to be as accurate as possible with your company name.

4. Select your company from the list of companies.

5. The Company Information page will now be populated with the registered address of your company. Please check these carefully.
   • If these details are not correct, click the “Reset” button and repeat the process, selecting the correct company from the list.
6. Once you have confirmed your details, click “Add company” to proceed.
   • If we are unable to authenticate your company for any reason. You will receive an error message. Please contact SpaceAye support to resolve the issue.

7. On the “Customise Your Experience” page, you can customise some UI elements to match your company branding. All users within your company will see this branding. You can also click “Maybe later” to skip the customisation step and keep the default values. Customisation can be changed at any time by an admin user.
   • The “Brand colour” option will change the colour of some UI elements. This will look better as a dark colour.
   • The company logo will appear on the main menu

8. Clicking “Preview” will enable you see what these elements will look like within the UI. Please take a moment to check in both normal and dark modes to ensure that UI elements are readable with your chosen colours.
9. If you wish to make changes, click “Change“ to go back to the “Customise your experience” page.
10. Once you are happy with your customisation, click “Save” to proceed. 

1. You are ready to go! Click “Let's go” to leave the onboarding process and enter the SpaceAye Platform.
